Project Office: Key responsibilities

It is the responsibility of the Project Office to ensure that certain tasks are achieved in order to facilitate the smooth running of the Project Office. These tasks are:
  • Maintain Project Office communication
  • Technical project management
  • Support personnel recruitment
  • Collate short-term project plans
  • Risk management
  • Meetings and strategy Review
  • Scientific Advisory Board interaction
  • Contractual matters and reporting
  • VPH outreach and sustainability
  • VPH Initiative networking

Coordinator: UCL and UOXF

In the light of aims of the VPH NoE - to support stronger coordination of independent research initiatives within the VPH research area - the first WP of the VPH NoE is dedicated entirely to Network management and connecting the VPH NoE itself to the wider VPH Initiative.

As joint coordinators of the VPH NoE, UCL and UOXF are responsible for the planning and execution of tasks regarding Network management, via the Project Office (PO). The PO is composed of the Principle Investigators (PIs) (at UCL and UOXF), Project Managers (PM), and a Technical Project Manager (TPM), together with dedicated Contractual and Finance Administration (CFA) support from the UCL European Research and Development Office (ERDO) and UCL Finance. Collectively the PO manages the activities of the VPH NoE through a defined hierarchical management structure. Full details of this are available on request.

Management structure

A key responsibility within WP1 is the organisation of meetings that support the management structure and facilitate flow of information/decision making processes. These may be within the PO, or involve communication between the three management levels, namely: the PO (see Project Office: Key responsibilities); the Steering Committee (SC); and the General Assembly (GA).

Most important is the GA, which is composed of one representative from all institutions/organisations within the VPH NoE membership. The GA is therefore the largest body convened with regards to VPH NoE management and, because of its size, is mainly an information and discussion body which will convene annually (coincident with the annual VPH NoE meeting). Certain issues that affect the VPH NoE as a whole may be put to the GA for a vote to determine the action to be taken. In this case the agenda will be set by the SC, and an open online forum in the preceding 3 months will allow submission of topics for discussion, to be tabled by any member of the network.
